TL;DR

Office Operations and Procurement Coordinator: Supporting daily procurement and administrative tasks for Milan and Turin offices with an accent on purchase request processing, vendor coordination, and office event management. Focus on ensuring compliance with procurement policies and providing operational support in a multi-location environment.

Location: Minimum 3 days per week onsite at the Milan office. Remote operational support for the Turin office is also provided, with rare onsite presence required.

What you will do

  • Process purchase requests for IT hardware, software, office supplies, and services.
  • Create and manage purchase orders, track deliveries, and maintain procurement records.
  • Coordinate with vendors on quotes, pricing, and delivery timelines.
  • Support day-to-day office operations in Milan, including supplies, meeting rooms, and visitor coordination.
  • Coordinate local office events, team lunches, and executive visits.
  • Provide remote operational and administrative support for the Turin office, including travel-related tasks.

Requirements

  • Must be eligible under "Categorie Protette/ L. 68/99" in Italy.
  • Experience in procurement administration, office coordination, or a related operational role.
  • Strong organizational skills with high attention to detail and accuracy.
  • Ability to manage multiple tasks, follow structured processes, and meet deadlines.
  • Clear and professional communication skills in Italian and English.
  • Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint).

Nice to have

  • Experience using procurement or ERP systems (e.g., Coupa, SAP, Oracle).
  • Basic knowledge of IT hardware, software, and related purchasing categories.
